What is workflow automation, and how is it different from an AI agent?

Workflow automation executes a defined sequence of steps — when a document arrives, extract these fields, check them against that system, route the result. It is deterministic and does the same thing every time.

An AI agent adds judgment on top: it can interpret unstructured input, decide which step applies, and handle cases the original rules never anticipated. The distinction matters for cost and risk. Rule-based automation is cheaper, more predictable, and easier to audit; agents are worth the extra complexity only where the input genuinely varies. Most real builds combine both — rules for the predictable path, a model for the messy edges.

What does custom automation cost?

SynergyIQ prices automation as fixed-scope projects, not open-ended hourly work. A single workflow typically runs $2,000–$8,000; a multi-workflow operational build typically runs $10,000–$40,000. Builds usually take 4–8 weeks, with payback commonly landing in the 60–90 day range.

The main cost drivers are how the target systems expose data (a documented API is far cheaper than automating a user interface), how many payer- or client-specific rule variations exist, and whether the workflow handles protected health information, which adds compliance requirements.

How do I know which workflow to automate first?

Pick the workflow that is high-volume, rule-based, and measurable — and resist starting with the most interesting one. The best first candidate is usually the most boring: whatever task consumes the most staff hours while generating no revenue by itself.

A useful filter: if you cannot state today's cost of the workflow in hours or dollars, you will not be able to prove the automation worked. Measure first, then build. That is what a workflow audit produces.

Will automation replace our staff?

Do you sign a Business Associate Agreement for healthcare work?

Yes for automation and consulting, which are delivered remotely — DME and healthcare automation clients are located nationwide. Managed IT with onsite response is limited to the Greater Houston area, because same-day hands-on support is only meaningful within driving distance.
